After a sale closes, the listing agent still needs to finish the transaction file, update the listing, coordinate removal of marketing equipment, and follow up with the client. Distinguish those tasks from the buyer’s final walkthrough and the new owner’s decisions about the property.

A practical after-closing checklist
First confirm that closing actually occurred and check the agreed possession arrangements. A signed purchase contract alone does not mean the sale has closed.
| Task | What to do and why |
|---|---|
| Finish the brokerage file | Deliver final transaction documents and required records to your employing broker under the brokerage’s procedures. Closing does not mean the file can be deleted. |
| Handle compensation properly | Route a commission check and related paperwork through your employing broker as instructed. An associate should not treat the buyer or seller as the associate’s independent source of payment. |
| Update the MLS | Report the closed status and required sale information within the applicable MLS deadline. Updating a sold listing is different from deleting its history. |
| Coordinate signs and lockboxes | Arrange removal with the appropriate parties, accounting for access, possession, and any remaining authorized need. Confirm key and access-device handoff. |
| Follow up with the client | Confirm the handoff, address outstanding items within your role, and provide appropriate contact information. Asking for an honest review can be good service; it is not a universal statutory closing requirement. |
Separate law, MLS rules, and service practices
Section 475.42(1)(d), Florida Statutes, governs an associate’s collection of transaction money and compensation through the registered employer. Follow your broker’s instructions for receiving and delivering a commission check.
Section 475.5015 establishes brokerage record-retention requirements, including a minimum five-year period and additional rules for litigation records. The statutory starting point matters; do not assume every file’s retention clock simply begins on closing day.
MLS requirements are separate. For example, Stellar MLS Article 05.12 requires sold reporting within two days of the closing date, excluding weekends and federal holidays. Check the rule that applies to your MLS. Under Stellar’s listing-data rule, closed listings remain part of MLS history; a seller’s request does not automatically authorize deleting the record.
What is not automatically the listing agent’s job?
- Installing new locks: normally a decision for the new owner. An agent may help coordinate an expressly agreed service, but closing does not automatically make the listing agent responsible for replacing locks.
- Performing a new property inspection: a buyer’s final walkthrough generally occurs before closing. Do not confuse it with the listing agent’s administrative work afterward. An agreed follow-up or unresolved repair issue may still require attention.
- Ignoring all remaining obligations: closing does not erase confidentiality, recordkeeping, or an outstanding agreed task. Read the facts and applicable agreement.
Try three practice questions
- The parties sign a purchase contract today, but closing is next month. Should the listing be reported as a completed sale today?
- A sale has closed. Which is a routine listing-agent follow-up: coordinating sign removal or personally installing all new door locks without an agreement?
- A seller asks the agent to delete the entire closed listing from Stellar MLS. Does the request automatically permit deletion?
Answers and explanations
- No. A contract and a closed sale are different stages. Report the appropriate status under the applicable MLS rules.
- Coordinating sign removal. Lock replacement is not automatically the listing agent’s duty; additional services depend on the arrangement.
- No. Follow the MLS data-retention rule and brokerage procedures. Updating status is not the same as deleting history.
