Start with a system you will use consistently to record contacts, remember the next action and keep appointments. Before buying another app, ask what your brokerage already provides and choose the smallest set of tools that solves your current problem.
1. Choose the task you need to improve
Write down what is getting missed: following up with a prospect, finding notes from a conversation, remembering an appointment or understanding where inquiries come from. Choose one task to improve first. Software supports your daily work; installing it does not replace conversations, service or follow-through.
2. Check the tools already available to you
Ask your broker or team leader which contact-management, calendar, document and transaction tools are included, who can help you learn them, and which tools the brokerage approves for client information. Check included training before paying for another subscription.
3. Look for a clear contact and follow-up workflow
A customer relationship management system, or CRM, organizes contacts and the work associated with each person. Evaluate a tool by running a simple example with fictional information:
- Create a contact and record where the inquiry came from.
- Add a short note about the person's stated needs and timeframe.
- Set a specific next action and reminder.
- Find today's tasks, complete the action and record the outcome.
- Schedule the next step so the contact does not disappear from your routine.
Use our lead-prioritization and follow-up guide for deciding who needs attention. This guide focuses on choosing and using tools, rather than repeating that follow-up process.
4. Use this checklist before committing
- Can I find the contact, latest note and next action quickly on the device I normally use?
- Can I set reminders and see missed tasks?
- Does the tool fit the brokerage's workflow and rules for client information?
- Can the right people access what they need without sharing a login?
- Can I export my information, and do I understand ownership and access if I change tools or brokerages?
- Have I included subscriptions, setup time and training in the cost?
- Can I test the workflow with fictional data before importing real client information?
5. Review whether the tool helps
After a short trial, compare the process with the problem you wrote down. Are reminders being completed? Are notes easier to find? Is the tool saving time, or adding work? Resolve those basics before adding more automation or marketing software. Follow your brokerage's communication and privacy procedures when using real contact information.
